Project Assistant (German Speaking)

  1. To assist with sourcing costs for live sales enquiries in conjunction with the Project Managers
  2. To assist Project Managers with administrative tasks associated with project delivery and new customer on-boarding.
  3. Be the primary point of contact for our German-speaking customers.

Job Tasks

The job holder is expected to proficiently undertake the following tasks:

  1. Work with Project Managers and the Purchasing team to source and obtain best costs for items/components.
  2. Assist Project Managers in completing tender and quoting documents.
  3. Take ownership of the administrative elements of projects that have been successfully won. This includes, but is not limited to:
    a. Processing sales orders.
    b. Following-up internal and external stakeholders to progress open sales orders.
    c. Creating and updating product and other records on the business ERP system(s).
    d. Ensuring all required information is disseminated to relevant internal teams.
    e. Program and update the PM software.
    f. Attend project progress meetings, following-up action points, and updating relevant parties as necessary.
  4. Take ownership of the administrative elements of on-boarding new customers to Harrison. This includes, but is not limited to:
    a. Planning the on-boarding in the PM software and updating accordingly.
    b. Completing relevant internal and external documents.
  5. Completing other tasks as assigned by the Project Managers.
  6. Achieving personal goals that are set and agreed with your line manager.
  7. Participating in meetings and activities in a constructive and collaborative manner.

Essential Qualifications and Experience

To carry out the duties above, the following skills, competencies and experiences are necessary:

  1. 2-3 years’ experience in customer-communicating administrative roles.
  2. Fluent in both written and spoken German language.
  3. Four or more GCSEs at a minimum of grade 4 or C including English and Maths.
  4. Highly proficient in Microsoft Excel, Word and Outlook.

  6. A team player as well as the ability to work independently.
  7. Excellent communication and interpersonal skills.
  8. Experience in using Clickup, Asana or other similar Project Management software.
